The rota, the timeclock and the payroll file, next to the calendar they feed

Staff and roles, rotas, time off, clock-in, commissions and a payroll export — so who is at which chair on Saturday is decided once and the booking page, the till and the wage run all agree.

Staff & roles

Add a staff member, give them a role — stylist, front desk, manager — and the role decides what they can see and do: their own calendar or everyone's, the till or not, client notes or contact details only. Each person books their own services at their own duration if they work faster or slower than the seed pack. The plan sets the headcount cap and the chip beside this block reads it from the plan matrix, so it cannot say one thing while the product enforces another. Deactivating a leaver keeps their history on every past visit and report while removing their access the same minute — the record stays honest, the door closes.

  • Roles decide screens, not a checklist of 40 toggles
  • Per-person durations and prices where they differ
  • Headcount cap read from the plan, shown beside this block

Rotas

Set each person's working pattern — Tuesday to Saturday, late Thursday, every other Monday off — and the booking page offers only the times that pattern allows. Change the rota and availability changes with it; nobody can be booked on a day they are not in. Time off is a request the manager approves, and an approved day blocks the calendar the moment it is approved, including anything already booked, which the desk is told about rather than discovering. Repeating patterns handle the normal weeks; one-off edits handle the real ones, and both drive the same availability with no second place to update.

  • Working patterns that drive online availability
  • Time off requested, approved, blocked in one step
  • Conflicts with existing bookings surfaced, not hidden

Timeclock

Staff clock in and out on the salon's own device with a PIN. Hours worked sit beside hours rostered, breaks are recorded, and a late clock-in shows as a late clock-in rather than being rounded away. The timesheet is what the payroll export is built from, so the hours you pay are the hours the clock saw — and a manager edit to a timesheet is logged with who changed what. The week's timesheet itself is a manager and owner screen today; a staff self-service view of your own hours is on the roadmap, not built yet.

  • Clock in and out by PIN on the salon device
  • Worked next to rostered, breaks included
  • Every manager edit logged

Commissions

Set a commission rate per person: a percentage of service sales, a percentage of retail sales, or a fixed amount per completed service — one rate at a time, effective from whatever date you choose. Each night, the ledger attributes every completed sale to whoever rang it up at the till — not necessarily whoever did the work, if a different person processed the sale — so the commission ledger for the month is a report, not a calculation someone does on a Sunday afternoon. The owner and manager see every person's ledger side by side; change a rate mid-month and it applies from that day forward, with the ledger showing both periods — never a silent recalculation of work already done.

  • One rate per person: % of services, % of retail, or a fixed amount
  • Attributed to whoever rang up the sale, not whoever did the work
  • Owner and manager see every ledger; no stylist self-service view yet

Payroll export

At the end of the period, export hours, commissions and tips per person as a CSV in the layout your payroll software or accountant expects. The export is built from the timeclock and the till, so it does not need checking against either — it is them. Documents live on the person's record too: contracts, right-to-work checks, insurance and training certificates, each with an expiry date that raises a reminder before it lapses - so the file the accountant asks for and the file the inspector asks for are the same file.

  • Hours, commission and tips per person, per period
  • CSV for payroll software or the accountant
  • Staff documents with expiry reminders

One file: hours + commission + tips

Replaces: three spreadsheets emailed to the accountant

Questions

Asked before you ask

How many staff can I have?

The cap is set per plan and the chip on this page reads it from the plan matrix — Free is a single person, the top plan is unlimited. The pricing page has every cap.

Can a stylist see other stylists' clients?

Only if their role allows it. The stylist role sees its own calendar and the notes for the clients it serves; a manager sees everyone's.

Does the rota change online availability?

Yes, immediately. Availability is computed from the rota, so a pattern change or an approved day off removes those times from the booking page at once.

Can self-employed chair renters use it?

Yes. Give each renter a stylist role with their own calendar and prices; sales they ring up themselves are attributed to them by the nightly commission job. The ledger itself is an owner/manager screen — there's no stylist self-service view yet.

Does it do multiple locations?

The location cap is per plan and read from the plan matrix; the top plan has no cap. Staff can be rostered across locations, but every report is tenant-wide across all of them — there's no per-location split today.

Is there an HR document store?

Yes. Contracts, right-to-work, insurance and training certificates sit on the person's record with expiry dates that raise a reminder before they lapse.

Can I run payroll in it?

No — it exports the file your payroll software or accountant needs, with hours, commission and tips per person. We do not calculate tax.
