Reports

The numbers a salon owner actually asks for

Takings by tender, rebooking rate, staff performance and retention — six weeks side by side, read from the same ledger the till writes, exported as CSV when the accountant asks. Stock levels are on the same page.

Sales report

Sales for any period, split by tender — card, cash, gift card, membership. Every figure is the sum of sale lines the till wrote, which means the sales report and the Z-reports for the same days add up to the same number — there is no separate 'diary total' to reconcile. Every export carries the same figures the screen shows, in a CSV layout an accountant can open without a phone call about what column nine means.

  • Card, cash, gift card, membership — by tender
  • Adds up to the Z-reports, because it is the same ledger
  • Any date range, not just fixed calendar months

Rebooking rate

Rebooking rate is the share of clients who leave with their next appointment made. It is the number that predicts next month better than anything else, and the report shows it per week, per stylist, against the previous period, with the clients who did not rebook listed underneath so the desk can act on them. A stylist who rebooks 70% and one who rebooks 40% are running two different businesses in the same room; this is the page that shows it. The same figure drives the rebooking nudge in automations, so the report is not just a scoreboard — acting on it is one click away.

  • Per week, per stylist, against the previous period
  • The clients who did not rebook, listed
  • Feeds the rebook nudge in automations

Staff performance

Per person: minutes scheduled against minutes booked (utilisation), appointments completed, no-shows and the no-show rate, and rebooking rate — the same set of columns for every person in the room, so it compares people on what they actually did rather than on how each one’s numbers happened to be assembled. It's the page you open for the quarterly conversation even without a single pound in it: a chair that's booked solid but keeps losing clients to no-shows reads very differently from one that's simply quiet. It's a manager's and owner's screen; nobody below that role opens even their own row today.

  • Scheduled vs booked minutes — utilisation, per person
  • Completed, no-show and rebook counts, per person
  • Same columns for every person

Utilisation = booked ÷ scheduled minutes

Stock report

Stock on hand, at cost and at retail, per product; what sold this week and what the margin was; what is below its reorder level; and a stock-take screen that records the count against the expected figure and posts the difference. Because the till and the online shop sell from the same stock ledger, the report is right about what is on the shelf — it is not a copy of a copy. Margins are computed from the cost price on each product, so the report can say which shelf line earns its space and which is just occupying it.

  • On hand at cost and at retail
  • Below reorder level, with the supplier
  • Stock takes post the variance

Set up the way your kind of salon works

The numbers worth watching differ by trade — colour margin, walk-in rate, course redemptions. Each vertical's seed pack below is where its reports start.

  • Hair salon

Colour appointments block the whole chair, so the gap under the lamp is dead time.

Set processing minutes on root tint, highlights and balayage; the calendar frees the stylist for the middle segment and books a blow-dry into it.

  • Barbershop

Walk-ins and a queue, three chairs, and no-shows on the 20-minute slots that cost the most to hold.

Instant booking with 'anyone' as the default, a walk-in button at the till, and a deposit on the slots you choose.

  • Nail salon

Removal plus a new set is two services in one visit, and add-ons like nail art change the time.

Book several services in one appointment; add-ons carry their own minutes and price, so the slot is the right length.

  • Spa

Rooms as well as therapists are the constraint, and every treatment needs turnaround time.

Rooms are resources with their own availability, and buffers of 10–30 minutes belong to the treatment.

  • Aesthetics

A client must not be able to book an injectable without a consultation and a signed form.

The consultation is first in the seed pack and the required form gates the treatments behind it.

Questions

Asked before you ask

Can I export reports?

Yes — the period summary, staff scorecard, finance and retention reports all export as CSV. The finance export states VAT as unavailable rather than guess: no VAT rate is stored yet, so it shows the gross you took and leaves the rate to your accountant.

Are reports live?

Sales and takings are as current as the last sale the till wrote. Longer views — retention, rebooking over six weeks — are computed on a short cache and say when they were computed.

How is rebooking rate defined?

Completed visits where the client left with a future appointment already booked, divided by completed visits. The definition is printed on the report.

Can staff see reports?

No, not yet. Reports and commission statements are a manager and owner screen. A stylist self-service view of their own numbers is on the roadmap, not built today.

Do reports cover multiple locations?

Every report combines all of your locations into one tenant-wide figure — there's no per-location split today. If you run more than one site, this is the whole business at a glance, not a per-branch breakdown.

Why do my sales report and Z-reports match exactly?

Because they are the same data. The till writes sale lines to one ledger; the Z-report sums a day of it and the sales report sums a period of it.

Which plan includes stock reports?

Stock control is a plan-gated capability; its chip on this page is read from the plan matrix. Sales, rebooking, staff and retention reports are not plan-gated.
