A closed day: card, cash and VAT are derived from real hair seed-pack prices; tips, float and the counted variance are a named till fixture. · pos-till-fixture · 2026-08-28

Card payments

Take the card at the chair or the counter. The till builds the basket from the appointment — services, add-ons, retail — and the client pays by card through Stripe, in cash, or a mix of both. A card reader registers to the till as a device — a second one on a busy Saturday is meant to be a setting, not a purchase decision, and that rollout is completing tenant by tenant today. Every payment lands on the client's record and in the day's report the moment it is taken. Receipts go by email or on screen, and a sale can be parked mid-basket when the client at the chair suddenly remembers a retail bottle.

  • Basket built from the appointment, edited at the chair
  • Card through Stripe; cash; split between the two
  • Registers are devices — add a second till in a minute

Cash management & float

Open a shift with a float, pay in and pay out during the day, and close with a blind count — the till asks what is in the drawer before it tells you what should be. The variance is recorded against the shift and the person who closed it, and a manager PIN is needed to override a count. Denomination counts are kept, so a £20 short at close is traceable to the shift it happened in. Opening float, expected cash and the count live on the same screen at close, so the person cashing up never does arithmetic on the back of a receipt.

  • Float, pay-ins and pay-outs per shift
  • Blind count at close, variance against the shift
  • Manager PIN for overrides

Refunds & returns

A refund goes back the way it came — card to the card, cash from the drawer — and is recorded as its own line against the original sale, never by deleting anything. Returns of retail put the item back into stock. Partial refunds, exchanges and a goodwill credit to the client's account are each their own action with their own audit line, so the report at the end of the month explains itself. The client's record shows the refund beside the original visit, so the next conversation at the desk starts from what actually happened.

  • Refund to the original tender
  • Returns restock; exchanges keep the margin visible
  • Nothing is deleted; every reversal is a line

Z-report at close

At close the till produces the Z-report: takings by tender, tips, VAT collected per rate, refunds, the float you opened with, the count you closed with and the variance between them. It is the same report your accountant wants and the same numbers the Reports module shows, because it is the same data — there is one ledger, never a till total and a separate diary total that disagree with each other. Print it, email it to yourself, or export the period as CSV for the accountant. Close the day from the till or from a phone; either way the drawer, the tips and the totals are stamped to the shift that made them.

  • Takings by tender, tips and VAT per rate
  • Float, count and variance on the same page
  • The Reports module reads the same ledger

Offline till

The wifi drops on a Saturday afternoon. The till keeps selling: the basket, the cash tender and the receipt work from the device, and the sales queue up in an outbox that syncs the moment the connection is back. The server recomputes every synced sale — totals, VAT, tips — so a sale that was made offline is exactly as trustworthy in the report as one made online, and nothing is ever lost between the two. Card payments still need the connection — the till says so honestly at the moment of tender rather than spinning — but cash never stops.

  • Cash sales and receipts without a connection
  • An outbox that syncs when the wifi returns
  • The server recomputes every synced total

Set up the way your kind of salon works

The till carries whatever your vertical sells across the counter — the services below are the seed pack it starts pricing from.

  • Hair salon

Colour appointments block the whole chair, so the gap under the lamp is dead time.

Set processing minutes on root tint, highlights and balayage; the calendar frees the stylist for the middle segment and books a blow-dry into it.

  • Barbershop

Walk-ins and a queue, three chairs, and no-shows on the 20-minute slots that cost the most to hold.

Instant booking with 'anyone' as the default, a walk-in button at the till, and a deposit on the slots you choose.

  • Nail salon

Removal plus a new set is two services in one visit, and add-ons like nail art change the time.

Book several services in one appointment; add-ons carry their own minutes and price, so the slot is the right length.

  • Spa

Rooms as well as therapists are the constraint, and every treatment needs turnaround time.

Rooms are resources with their own availability, and buffers of 10–30 minutes belong to the treatment.

  • Aesthetics

A client must not be able to book an injectable without a consultation and a signed form.

The consultation is first in the seed pack and the required form gates the treatments behind it.

Questions

Asked before you ask

Which plan includes the till?

The chip at the top of this page is read from the plan matrix; today that is the Pro plan. Every other plan still records payments taken online — deposits and full prepayment — against the booking.

What are the card processing fees?

Card payments go through Stripe and you pay Stripe's processing rate at cost — BeautyZilla adds nothing on top.

Can I split a bill between card and cash?

Yes. Take part on card and the rest in cash, or two cards; each tender is its own line on the sale and on the Z-report.

How are tips handled?

A tip is added at payment, attributed to the staff member who did the service, kept separate from takings and VAT, and shown per person on the Z-report and in the commissions view.

Does the till do VAT?

Yes, per line. A service and a retail product can carry different rates on the same sale, and the Z-report shows VAT collected per rate at close.

What happens if the internet drops mid-day?

The till keeps taking cash sales and printing receipts; they queue in an outbox and sync when the connection returns, with every total recomputed on the server.

Can I use a receipt printer?

Email and on-screen receipts are live. ESC/POS printer support is planned; the Works-with block above shows the current status and target month rather than promising a date we have not committed to.
