Automations

An automation is a rule with a clock: 72 hours before an appointment, send the reminder; two hours after, ask for a review; five weeks after a cut, when the client's usual gap is six, suggest rebooking; nine weeks without a visit, send the win-back. Each one is a template you edit once. The clock is the appointment book, so a client who rebooks early drops out of the win-back before it fires — automations read the calendar, they do not fight it. Every automated send is logged on the client's record, so the desk can always answer 'what did we send her?' without opening a separate tool.

Campaigns

A campaign is one message to a segment: a bank-holiday offer to everyone who has had colour this year, a new-service announcement to clients of one stylist, a quiet-Tuesday discount to people who usually book Saturdays. Pick the segment, write it, schedule it — the campaign report shows how many clients matched, how many sends went out, and how many bounced or complained, so you know it landed before you judge whether it worked. Every message carries an unsubscribe that is honoured immediately. A campaign can be tested on yourself first, scheduled for a quiet hour, and stopped mid-send if the phone starts ringing for the wrong reason — the send log shows exactly who has already received it.

WhatsApp reminders

Email is on every plan. The Grow plan switches on SMS today, and WhatsApp will join it once the platform's own WhatsApp Business connection is signed — not yet live for any salon. A client picks how they want to be reminded, the same choice that sets their quiet hours, and reminders, waitlist offers and manage links go by the channel they chose. Until WhatsApp is live, a client who prefers it falls back to email rather than silently not sending. Message templates are shared across channels, so the reminder a client reads on WhatsApp will say exactly what the email version says today, in the salon's own words.

AI review replies

Two hours after a visit the client is asked for a review; it lands on your marketplace listing and on your own site. Replying is where the time goes, so the Grow plan drafts a reply in your voice for each new review — thanking the specific service and stylist by name — and you approve, edit or discard it. Nothing posts without a person pressing the button, and a one-star review is flagged to the owner before any draft is offered. Replies post to the same listing and site widget the request fed, so the whole loop — visit, request, review, reply — is visible on one screen.

Referrals

Every client gets a referral link. When a friend books through it and turns up, both get the reward you set — £5 off, a free fringe trim, points. The referral is attributed on the booking, so the reward is only released when the appointment is completed, and the report shows which clients bring you clients, how many friends each one sent, and what those visits took. A referral scheme costs you nothing until the day it works, so there is no reason to wait to switch it on. Rewards land as account credit or points, which the till redeems like any other balance, so honouring one costs the desk nothing to remember.

Asked before you ask

Which channels do messages go by?

Email on every plan, SMS from the Grow plan — the SMS provider connection is still completing tenant by tenant. WhatsApp will join once the platform's WhatsApp Business connection is signed, which hasn't happened yet. The client chooses which they prefer, along with their quiet hours.

Is WhatsApp live today?

Not yet. The channel, the templates and the client preference are built, but delivery goes through the WhatsApp Business provider, and that connection is the platform's to sign, not each salon's — it hasn't happened yet, so WhatsApp messages fall back to email until it does. The Works-with block shows the current status.

Can I stop an automation for one client?

Yes — on their record, per automation, or entirely. An unsubscribe from a message does the same thing without you touching anything.

How do I know a campaign worked?

Today, by delivery: how many clients matched the segment, how many sends went out, and how many bounced or complained. Attributing an actual booking, open or click back to one campaign isn't built yet.

Does the AI reply to reviews on its own?

No. It drafts; a person approves. One-star reviews are flagged to the owner before any draft is offered.

Is this compliant with UK marketing rules?

Service messages — confirmations, reminders, manage links — go to every client. Marketing messages go only to clients who opted in, and every one carries an unsubscribe that is honoured immediately.

What does a win-back cost me?

Whatever reward you put in it — a fixed amount, a percentage or nothing but the reminder. The report shows the visits and takings it brought back against the rewards it gave.
